Lookout .. 43Folders and Inbox Zero . .
by Andrew McCaskey
Thanks to Kevin Korpi for his continued underwriting support for SDR.
Start of a new week, and a new opportunity to try something different. What I will be trying to do differently this week is to approach the Nirvana of the empty email inbox.
Always good to start something like this early in the week, while you are comparatively well rested and inspired. In other words, before reality intrudes.
One of the guideposts along the way will be some articles from the excellent site for personal productivity at 43 Folders , specifically an article entitled “My email diet” in the Inbox Zero series.
Gmail – which I use for most non-business tasks – has really spoiled me on the idea of a single searchable folder rather than the click and drag task that I observe the rest of the working day in Outlook/ Windows 2000.
Right now, I am muddling along in a combination of LOTS of personal folders in Outlook – by geography, customer and project, and relying very heavily on the free Copernic Desktop search to keep track of things inside the folders and in files on the laptop. About two months ago I became aware of the excellent Lookout plug in for Outlook, downloadable for free from Microsoft.
From the 43Folders Inbox Zero process, I’m learning that these tools are no substitute for ruthless triage of escalating questions:
1. What does this message mean to me and why do I care ?
2. What action, if any, does this message require of me ?
3. What’s the most elegant way to close out this message and the nested action it contains ?
I’ve been assured that fifty percent of my inbox won’t make it through the first question, and that many will not make it past question two.
Forth-three Folders has a pretty high standard for handling email.
You’re in the business of making sandwiches — not deciding the prettiest way to stack the customers’ orders.
I’ll let you know how things turn out.
