End of the week – and my appreciation to listener’s hanging in all week for the Inbox Zero adventure
. It’s been a simple exercise, but as I gain confidence in the search tools and ability to find things – the choice about which folder to use becomes a less agonizing choice. In fact, in the limit, I am beginning to wonder if the Google approach to organizing Outlook makes the best sense. Some !@ prefixed folders for “!@Waiting For”, the David Allen approach of Named Months and folders 01 to 31 for days this month , for time sensitive reminders to check on or respond and one really big one called Archive. Add a deep drill search capability, and that may be all that you need to keep on top of your email.

The other benefit that came from the exercise – with the autocheck interruption turned off and some sort of timed sprint underway, was the feeling of hitting in the zone on the task.

Thanks also to Matt Benic at Smallfrymobile.com in South Africa. He sent along an interesting email on the concept of setting goals for yourself and them publicizing them widely, as he does on his blog at flintza.blogspot.com .

It has been a good break from some of the normal chatter – but I do have some news: The Techpodcast Network / U3 Developer’s Contest Winners have been selected, and we will have the official announcement next week. We’re also getting ready for another TPN Roundtable presentation, and I hope to have details on that for you as well.

I’ll let you in on a secret from last month: I’m the proud owner of a new Intel Mac Mini - and with Allison Sheridan’s help, have the Parallels Workstation running with a fresh OEM Windows XP install. A few minor config glitches, but so far – runs great, just like she discussed in the Roundtable last month.

With the holiday weekend coming up – and Indianapolis swamped for “The Race” we are not planning on a lot of travel adventures – just figuring when the traffic jam is headed North, and making sure that we are on the freeway heading South.

Inbox Zero: One of the guideposts along the way will be some articles from the excellent site for personal productivity at 43 Folders , specifically an article entitled “My email diet” in the Inbox Zero – Day 1series.

From the 43Folders Inbox Zero process, I’m learning that these tools are no substitute for ruthless triage of escalating questions:

    1. What does this message mean to me and why do I care ?

    2. What action, if any, does this message require of me ?

    3. What’s the most elegant way to close out this message and the nested action it contains ?

These questions were most valuable getting from 400 to 100 items. After that, the default
Outlook folder “Unread Items” kept the new stuff in one place – just reading headers and sender lines for easy zapping
